Service requests and customer accounts
We collect the name, email address, phone number, service address, dog count, requested plan, notes, and optional property photos and photo comments you provide. We use this information to respond to inquiries and arrange service. Customer accounts also store your confirmed plan, scheduled plan and dog-count changes and their effective dates, schedule, service pauses, personal referral code, cleaning credits, invoice totals, and referral discounts.
Checking your service area
The address checker sends your entered street address, city, and ZIP code to the U.S. Census Bureau’s public geocoding service to locate the address and identify its city jurisdiction. We compare that location with our configured service area. For radius coverage, we use the straight-line distance from our service center, including addresses inside city limits. Checking an address does not create a customer account or save a service request. Temporary request limits help prevent repeated automated lookups.
Sign-in and access
Email/password and Google sign-in are being prepared through Supabase Auth and become available once the provider is connected. Supabase manages passwords, login sessions, email confirmations, and password resets; Google manages its own sign-in credentials. Evergreen Scoop receives a verified identity and email to identify your customer profile and uses essential login cookies to keep you signed in. It does not store your password in the service database. Existing demo accounts and owner access also use Sign in with ChatGPT. Customers can access their own service details. The business owner can manage customer plans, schedules, inquiries, pauses, referral credits, invoices, employee access, and communications. Staff granted customer-management permission can review custom quote requests, receive quote notifications, prepare quotes, and approve custom plans. Approved employees can see customer contact information, gate access, yard instructions, and visits assigned to their routes.
Custom quotes
We prepare quotes from your service request. New customer quotes require sign-in with the recipient email. Existing customers request and accept custom plan changes from their service account. We store the offered frequency, dog count, monthly price, disposal price, included service details, expiration date, any agreed effective date, and acceptance time. New customer acceptance creates or updates a pending service account at the agreed price; the owner or an authorized manager confirms scheduling before service begins. An existing customer’s acceptance schedules a change on the agreed billing date and keeps their account and history. An accepted quote does not collect payment. Accepted terms are retained with your account.
Referral codes
A new account can enter one referral code during signup. The account connected to that code receives one free-cleaning credit. Sharing a referral code does not give someone access to your account, address, or contact details.
Cleaning chat
Your dashboard includes a saved conversation about upcoming cleanings. We store each message, its sender and time, the cleaning date discussed, and per-user read status. You can read your own conversation. The owner and authorized managers can review and reply to customer chats; other approved employees can access conversations for customers assigned to their routes. Replies appear in the website and do not require text-message consent or send an SMS or email. Conversations remain available when a cleaning date changes.
Storage and messages
These records are stored in the website’s database. Optional quote photos are stored privately and are available to the business owner and authorized managers for reviewing your request. With your optional consent, service texts include an update on your cleaning day and another when your house is the next stop, plus a completion update. Missed-cleaning notices still appear in your account and use an available contact method; email is used when you have not consented to texts. We store your gate instructions, access-policy acknowledgment, routine-update preference, text consent, the consenting phone number and time, and message history and sender status. When connected, Twilio processes service texts and opt-outs, Resend processes service emails, and Google Maps processes service addresses for route planning. These connections require setup before sending or optimization is available. Automatic SuiteCRM transfer is not enabled. Creating a profile or submitting a form does not subscribe you to marketing text messages or collect payment details.
Service and payments
Service dates are confirmed by the business owner. Billing cycles start on the first confirmed visit and recur monthly on that date, using the final day in shorter months. Plan and dog-count changes start on the next billing cycle. Pauses skip scheduled cleanings for the dates selected. Ending service stops future cleanings and new monthly invoice records immediately. This website does not process payments or automatically change external bills. Provide gate codes in the dedicated signup access field and keep your yard accessible on service days. When yard access or a customer issue prevents cleaning, we’ll notify you and your regular subscription charge remains unchanged. Gate codes and are available to the owner and employees assigned to your visits. Do not submit passwords or payment information in notes.
Questions or removal
For questions about your information or to request its removal, use the service request form and identify your customer account or inquiry reference. The owner can follow up using the contact details you provide.
